Return & Refund Policy

At 'Project Sophos', every seat, cohort and mentorship engagement is planned with care and limited capacity. Fees paid towards any programme, workshop, mentorship or learning experience are non-refundable under any circumstances once a seat has been confirmed. No refund will be provided. Where a participant is unable to attend their confirmed cohort, a structured deferral process is available as the sole recourse.

1. General Position on Fees

All fees paid to 'Project Sophos' are non-refundable. No refund will be provided for any reason, including but not limited to change of mind, personal circumstances, missed sessions, partial attendance, non-participation, or programme withdrawal. Programme planning, resource allocation and capacity reservations begin immediately upon confirmation of a seat.

The deferral process outlined below is the only alternative available to participants who are unable to attend their confirmed cohort.

2. Eligibility for Deferral

A participant may apply for a one-time deferral of their enrolment to a future cohort of the same programme if they are facing significant personal, medical, or unavoidable professional circumstances that prevent participation. Requests made on grounds of general inconvenience, schedule preference, or change of mind will not be considered.

3. Deferral Request Window

A deferral request must be submitted no later than 7 days before the commencement of the confirmed programme cohort. Requests submitted after this window, or after the programme has commenced, cannot be entertained.

4. How to Apply

All deferral requests must be submitted in writing to 'Project Sophos' via the official contact details on the Contact Us page. The request must include:

  • the      participant's full name and registered contact details;
  • the      name and cohort of the programme enrolled in;
  • a      clear reason for the deferral; and
  • supporting      documentation, where applicable.

5. Approval and Conditions

Deferral approval is not guaranteed. All requests are subject to the sole discretion of 'Project Sophos' and are contingent upon:

  • availability      of seats in a future cohort of the same programme;
  • the      programme continuing to be offered in a future cycle;
  • all      outstanding fees being settled as per the original payment schedule; and
  • submission      of a valid, documented request within the permitted window.

'Project Sophos' reserves the right to approve or decline any request without obligation to provide reasons. A declined deferral does not entitle the participant to a refund. No refund will be provided in any case.

6. One Deferral Per Enrolment

Each participant is entitled to a maximum of one deferral per programme enrolment. Once a deferral has been granted and a participant is placed in a new cohort, no further deferral for the same programme enrolment will be considered.

7. Payment Obligations Remain Unchanged

A deferral of enrolment does not alter, extend, or defer existing payment obligations. All fees remain due as per the original schedule unless a separate written arrangement has been agreed in writing with 'Project Sophos'.

8. Missed Sessions and Non-Participation

No fee reduction will be provided for missed sessions, late arrivals, partial attendance, or non-participation within a cohort, whether original or deferred. Where feasible, 'Project Sophos' may offer catch-up support at its discretion, but this is not guaranteed.

9. Rescheduling and Session Cancellation

For all 1:1 mentorship sessions, whether conducted in person, online, or in a hybrid format, the following terms apply:

  • A      request to reschedule a session must be communicated to 'Project Sophos'      at least 48 hours prior to the scheduled session time. Rescheduling      requests made within 48 hours of the session will not ordinarily be      accommodated and the session will be considered scheduled as confirmed.
  • In      exceptional circumstances where a participant is unable to attend, a      cancellation must be communicated at least 1 hour prior to the scheduled      session time.
  • Where      a participant fails to communicate a cancellation before the 1-hour      threshold, or does not attend without prior notice, the session will be      deemed to have been utilised in full. No credit, replacement session, or      fee adjustment will be provided in such cases.

10. Cancellation by 'Project Sophos'

10a. Force majeure and circumstances beyond our control

Where 'Project Sophos' cancels a programme due to circumstances beyond its reasonable control, including natural disasters, civil unrest, war, pandemic, or government-imposed restrictions, no refund will be provided. Participants will be offered a transfer to a future batch at our discretion.

10b. Cancellation for other reasons

Where 'Project Sophos' cancels a programme for reasons within its control and does not offer a reasonable alternative, participants will be offered a transfer to another available batch or offering of equivalent value. No refund will be provided.
